Campaign Archivist
Reports To: State & Candidate Support Director
Location: Fully remote / virtual
Time Commitment: 6–10 hours per week (flexible, project-based schedule)
Term: One-year renewable volunteer commitment
Position Summary
The Campaign Archivist is responsible for preserving the institutional memory of the Party’s past campaigns.
This role collects, organizes, and safeguards records, strategies, lessons learned, and other materials from endorsed candidates and state chapters. The ultimate goal is to build a searchable, practical knowledge base that future candidates, campaign teams, and state chapters can use to learn from past successes and avoid repeating mistakes—turning experience into a lasting competitive advantage.
Key Responsibilities
Collection & Preservation
Reach out to past endorsed candidates, campaign managers, and state chapter leaders to collect campaign records (plans, budgets, voter contact strategies, after-action reports, creative materials, etc.).
Ensure all materials are properly catalogued, dated, and stored with appropriate metadata.
Establish standardized processes for post-campaign debriefs and material submission.
Knowledge Base Development
Organize and maintain a secure, searchable digital archive and knowledge base accessible to approved users (endorsed candidates, campaign consultants, and chapter leaders).
Create clear categories, tags, and summaries that make historical materials easy to find and apply (e.g., “successful small-dollar fundraising tactics,” “rural voter outreach case studies”).
With the Endorsed Candidate Liaison, develop user-friendly guides, templates, and “lessons learned” summaries drawn from archived materials.
Accessibility & Training
Ensure the knowledge base is user-friendly and well-documented so future candidates can quickly find relevant resources.
Provide basic training or orientation to new candidates and campaign teams on how to use the archive effectively.
Periodically highlight particularly valuable or timely materials to the candidate support team.
Control access to the knowledge base according to guidelines set by national staff.
Collaboration & Outreach
Work closely with the Endorsed Candidate Liaison and state chapter leaders to identify and obtain important campaign records.
Build relationships with past candidates and volunteers to encourage ongoing contributions to the archive.
Standards, Privacy & Compliance
Maintain strict confidentiality protocols for sensitive campaign data, donor information, and internal strategy documents.
Ensure all archiving practices comply with party policies, legal requirements, and data privacy standards.
Develop clear guidelines for what should be archived versus what should remain confidential or destroyed.
Reporting
Provide regular updates to the State & Candidate Support Director on archive growth, usage statistics, and gaps in the collection.
Recommend priorities for future archiving efforts based on emerging candidate needs.
Work with the Blog Coordinator, Social Media Coordinator, and Newsletter & Email Coordinator to surface campaign success stories, highlights and profiles that can be shared with a broader audience.
Qualifications
Required
Strong commitment to the party’s platform and principles and belief in the value of institutional knowledge.
Exceptional organizational skills and meticulous attention to detail.
Experience with digital filing systems, databases, or document management tools (Google Drive, Wikimedia, Airtable, SharePoint, etc.).
High level of discretion and ability to handle confidential and politically sensitive information responsibly.
Strong written communication skills for creating summaries and user guides.
Preferred
Background in archives, records management, library science, knowledge management, or historical preservation.
Prior experience working on political campaigns (any level) or in campaign operations.
Familiarity with the party’s past campaigns or current endorsed candidates.
Experience creating searchable databases or knowledge repositories.
